Role 

The proposal coordinator will be responsible for developing and writing compelling proposals for bids.  

This includes understanding the requirements, designing the proposal structure, and creating persuasive content to convince the prospective client we’re the best team for the job.  

Our ideal candidate has a BS/BA in management, journalism, English, related humanities, or technical discipline, or 5+ years of relevant proposal management experience in lieu of a degree. They must have excellent writing skills, a strong understanding of proposal development, research experience, and the ability to turn complex information into clear and compelling narratives. They would also have precise attention to detail and the ability to multitask in a fast-paced environment. The selected candidate will work closely with various teams within the organization and with our partners in the industry to gather necessary information for writing compelling proposals. 

Responsibilities will include: 

  • Research databases, websites, and emails to review and screen RFPs for relevance. 

  • Understand and interpret proposal instructions and requirements. 

  • Conduct research to understand the project opportunity and ensure that it meets the business strategy. 

  • Remain updated on industry trends to address potential client concerns effectively. 

  • Write and guide technical staff in developing clear, persuasive, and concise proposals. 

  • Write, revise, and edit drafts including executive summaries, conclusions, and organization credentials.  

  • Work closely with subject matter experts throughout the company and with partner firms to gather necessary information.  

  • Develop and organize compelling proposals in accordance with the company’s differentiators, capabilities, and compliance with the client’s requirements.  

  • Maintain and manage a library of proposal content for future use.  

  • Coordinate with graphic designers to develop and incorporate necessary visuals in the proposal  

  • Work with the technical team on adherence to proposal timelines throughout the development process to ensure submission of proposals.  

  • Maintain the proposal database content and work with subject matter experts to ensure the information is up to date. 

  • Review and evaluate proposal feedback to improve future submissions.  

  • Maintain proposal templates for various proposal sections and documents.   

  • As needed, assist with marketing efforts like website updates, e-mail campaigns, and social media management.   

  • As needed, research market information to support business development efforts. 

Required Skills and Experience 
In addition to having the appropriate training and skills, you must be a smart, motivated, self-starter who is passionate about developing winning proposals, is team oriented, and has excellent written and oral communication skills.  

  • Bachelor's or master's degree preferred but not required. 

  • Four to 10 years of relevant experience.  

  • An advanced understanding of proposal principles and concepts.  

  • Proven abilities in proposal preparation for public sector clients with higher risk and/or complexity with many tasks, staff, and subcontractors, or “must-win” proposals; expert management of subconsultants. 

  • Ability to manage multiple proposals concurrently as the prime contractor with multiple subcontractors. 

  • Must be able to independently lead and manage multiple proposals and requests. 

  • Expert ability to use advanced tools and features of Word, PowerPoint, and Excel. 

  • Ability to use advanced features of graphic design programs such as Illustrator, Photoshop, InDesign, and Acrobat preferred but not required. 

  • Expert ability to craft clear and concise written dialogue for the company’s business development efforts. 

  • Strong ability to evaluate, select, and apply standard transportation planning techniques, procedures, and criteria for a proposal baseline. 

  • Ability to guide teams to accomplish tasks in an established and allotted timeframe. 

  • Ability to effectively conduct quality assurance/quality control (QA/QC) on deliverables by assuming responsibility for QA/QC on an entire proposal. 

  • Expert ability to communicate clearly and professionally in interactions and writing to strengthen relationships and motivate others. 

  • Ability to establish work priorities; excellent in communicating issues, progress, and delays internally and externally as appropriate. 

Compensation  

An individual who meets the minimum requirements can earn an annual salary of $76,000. Salary can be as much as $109,000 based on education, years of experience, and relevance of experience.
